This course focuses on Accounts Payable (AP) functionality in CORE.NV. Participants explore AP-related navigation and specific transactions including commodity-based payment requests (PRC) and general accounting expenditure (GAX). 

This course is not intended to teach accounting principles or Department business practices. Its purpose is to instruct participants on using CORE.NV for General Accounting functionality specific to Phase 1A

This course focuses on General Accounting (GA) in CORE.NV, including GA-related navigation, processing transactions for internal exchanges, Journal Vouchers and learning how accounting lines are populated with Event Types and Posting Codes. Some GA transactions are not covered and instead are included in courses for other functional areas such as Procurement and Accounts Payable.

The AP Payments online course includes two essential transactions used to pay a vendor for goods or services received by a Department - Commodity-Based Payment Request (PRC) and General Accounting Expense (GAX)These two transactions will replace the Payment Voucher (PV) or Easy Payment Voucher (PVE) in the prior systemThis course is geared towards financial end-users from all departments who currently manage Vendor payment actions in ADV2.1.

Course Overview:

The Budget Query Video showcases how the system allows the end-user to research a current budget and see how much is left to spend, including any pending transactions that have not yet been approved (workflow).

Specific topics include:

  • Recording a pre-encumbered expense using the General Accounting Pre-encumbrance (GAP) transaction
  • Recording an encumbrance using the General Accounting Encumbrance (GAE) transaction
  • Viewing real-time budget details including Budget Actuals and Budget Amounts 

The Budget Query Job Aid will include screenshots and explanations for the GAP transaction, the GAE transaction, and how to research real-time budget details including pending transactions.

The Advantage 4 platform – the foundation of CORE.NV – is an Enterprise Resource Planning system. There are two major areas to CORE.NV – the Financial system or FIN, and the Human Resource Management area, or HRM.

This course presents a tour of the simple, intuitive, and consistent user interface offered by CORE.NV. You will see how to log into the system, the functions available for your business role in the system, how to find information, and what actions you will use to create transactions that add and modify information in the system.
